Sometimes, and more often than a year ago. But the question to start with is which process the software supports, and what that process costs you, rather than what the AI can do. If you can name the process and put a number on it, you can decide whether to keep the software, build AI around it or replace it. If you can’t, no tool is going to make that decision for you.

Most businesses reach this question through a renewal bill. The annual invoice arrives, it’s gone up again, and someone asks whether AI could do the job instead. Here’s how we work through it with clients, in enough detail that you can run it yourself.

We touched on the short version in the two questions business owners keep asking about AI, and one line from that post is worth repeating because it holds up every time: the businesses getting real value started with a problem, not with the technology. The ones who started with the technology mostly ended up with a subscription and a story.

Where should you start?

With the gap between what you pay for and what you use. We call it the subscription-gap test, and it takes about an hour with whoever actually uses the software every day.

List what you pay for. Every platform, every seat, every add-on, with the annual cost. Include the ones that are charged to a credit card rather than an invoice.

Mark what you actually use. For each one, which features does your team open in a normal week? Be strict. “We might use the reporting one day” goes in the unused column.

Count the workarounds. Every spreadsheet that exists because the software can’t do something, every export that gets reformatted by hand, every step where someone copies information from one screen into another.

The workarounds are the important column. They’re where the software stopped fitting your business and your staff filled the gap themselves.

Once you’ve found a gap, pick the one process that sits in the middle of it and run three questions over it.

How often does the process happen?

Frequency is what makes automation pay. A task that happens fifty times a day repays setup costs quickly. A task that happens four times a year almost never does, however tedious it is when it comes round.

Daily beats weekly, and weekly beats monthly. Anything rarer usually belongs on a checklist.

How much of it is judgment, and how much is moving information?

Break the process down step by step and sort each step into one of two piles.

The first pile is information moving: copying a customer’s details from an email into a CRM, pulling numbers from three systems into one report, checking an order against a stock list. This is AI territory now, and it’s usually the bulk of the hours.

The second pile is judgment: deciding whether a quote is worth chasing, reading a tricky customer complaint, weighing up which job gets the crew first. That stays with a person. What changes is the information in front of them when they make the call, because the first pile has already been done.

Work that moves information is where AI earns its keep. Work that weighs things up stays with a person, with better information in front of them.

What is the time actually worth?

Put a number on it. “We’d save heaps of time” can’t be weighed against a quote.

The arithmetic is simple. Hours the process takes each week, times the loaded cost of the person doing it (wage plus super, leave and overheads), times the weeks in a working year. As an illustration: six hours a week at a loaded cost of $55 an hour, over 48 working weeks, is $15,840 a year. That’s the ceiling on what fixing that process is worth, before you count errors, delays or the better work that person could be doing.

If automating it costs a fraction of that, it’s worth doing. If it costs more than two or three years of the time it saves, leave it for now. Either way you’ve made a decision with a number behind it, which a general ambition to “do more with AI” never gives you.

What are the three answers you can land on?

Run the questions and you’ll end up at one of three places.

Keep the software. It fits the process, your team uses most of it, and the price is fair. That’s a good result: you’ve renewed on purpose rather than by default.

Build AI around it. The software is fine at its core job, but the work between it and your other systems is eating hours. This is the most common answer we see. AI and automation handle the moving of information between the platforms you already have, and nothing gets replaced. It’s often the cheapest of the three and the quickest to show a result. If your CRM is one of those systems, what CRM integration actually involves covers the practical side, and our AI and application integration work is built around this middle path.

Replace it with something bespoke. The gap is wide, you’re paying tens of thousands a year, and your process has been bent out of shape to fit the tool. Then a purpose-built application can cost less over a few years than the subscription, and it fits the way you work. It’s a bigger decision with a longer payback, and it starts with a proper scope. We’ve set out what that involves in what scoping a custom web application involves.

What have we learned the hard way?

We’ve been adopting AI inside HyperWeb for about three years, and not all of it has stuck.

Early on we paid for a platform that was meant to take work off us. It didn’t. It still wanted the same repetitive data entry, and every record keyed in by hand was another chance to get something wrong. What it was asking for was exactly the work a database lookup should have been doing, with AI handling the entry and the errors that came with it. We’d bought the tool and left the actual problem sitting where it was.

The lesson has been the same each time. When we started with a process we already knew was costing us, the result lasted. When we started with a tool that looked promising, we usually paid for it for a few months and then cancelled it. The three questions exist because we needed them ourselves. The longer version of that sequence, purpose before the platform, is set out in our 4P framework for AI adoption.

Frequently asked questions

Can AI replace the software my business pays for?

Sometimes. The test is the gap rather than the technology: how much of the product you use, how many workarounds you run, and what the subscription costs against what a purpose-built alternative would. Start with one process, not a platform decision.

Which business processes should be automated with AI first?

High-frequency, low-judgment work: moving information between systems, assembling reports, triaging enquiries. Work that needs someone to weigh things up should stay with a person, with better information in front of them.

How do I work out if automating a process is worth it?

Put a number on it. Hours the process takes per week, times what that time costs, against the cost of automating. A named process with a named cost is a decision you can make. A vague ambition to “use AI” gives you nothing to decide.

Do I need to replace my software to get value from AI?

No. Often the win is AI working between the systems you already have. Replacement is the answer when the gap between what you pay for and what you use is wide and the workarounds are eating staff time.

Want us to run it for you?

This is the process we run in the second half of an AI readiness review. We look at your systems and your software costs with you, run the three questions over the processes that matter, and give you a short list of what’s worth doing first, what’s worth leaving alone, and roughly what each would cost.

Most AI conversations land in two buckets: being found in AI search, and getting AI to do real work inside the business. How to check both.

The post AI Readiness: The Two Questions Business Owners Keep Asking appeared first on HyperWeb.

Most of the AI conversations I’ve had lately land in one of two buckets. The first is about being found. The second is about the work itself. They’re different problems with different fixes, and nearly every business I talk to has both. So we’ve put together an AI readiness review that covers the pair of them.

Here’s what sits in each bucket, and how you’d check your own position on either.

Why do businesses on page 1 of Google get no mention in ChatGPT?

I showed two rooms the same thing in the last month, a Newcastle Business Club lunch and a digital bootcamp out at Tocal. Take a business sitting on page 1 of Google. Ask ChatGPT the question that business’s customers would actually ask. Watch it name three other businesses and never mention them.

The room goes quiet at that point. Most people in it have never checked.

The reason is structural. Google ranks pages and hands you a list to choose from. AI engines assemble an answer, which means they have to decide who to name and who to leave out. They can only name businesses they can find, understand and trust, and those three things come from how your site is built, whether your business details are consistent everywhere they appear, and whether you’re mentioned credibly beyond your own website. Ranking well helps. It isn’t the same job. We pulled apart the five common reasons a business gets skipped in why ChatGPT recommends your competitors and not you.

The useful part for a business owner is that this is measurable. Ask the engines the questions your customers ask, logged out so you’re seeing what a stranger sees, and note who gets named. That’s your baseline, and it takes about half an hour. We wrote the method up in how to check where you really stand if you’d rather run it yourself.

Google ranks pages and hands you a list. AI engines assemble an answer, which means they have to decide who to name and who to leave out.

Where could AI do real work inside your business?

The second bucket emerges differently, organically. More and more clients are realising that AI capabilities can solve a pain point in their systems and processes. It usually starts with something specific: the admin that eats a day a week, the quoting process that lives across three spreadsheets and one person’s memory, or the software subscription that costs thousands a year and does maybe a third of what the business actually needs.

Those are good starting points, because they’re specific and they already have a cost attached. Vague AI ambitions go nowhere. A named process that wastes a named amount of time is something you can put a number against and either fix or leave alone on purpose.

Three questions are worth asking about any process you’re considering. How often does it happen? How much of it is judgment and how much is moving information from one place to another? And what would getting that time back actually be worth? Work that’s high frequency and low judgment is where AI earns its keep first. Work that needs someone to weigh things up stays with a person, ideally with better information in front of them. We’ve written up the full process in could AI replace the software you’re paying for.

Can a bespoke application replace expensive off-the-shelf software?

Often, yes. It’s also the question the fewest people think to ask.

Off-the-shelf software is built for the average of thousands of businesses. You pay for the whole product, use the slice that fits, and bend your own process around the parts that don’t. Per seat, per month, indefinitely.

A bespoke application works the other way around. It’s built around how you actually operate, it does the things you need and nothing else, and you own it.

It isn’t automatically the right answer. If the off-the-shelf product fits and the price is fair, keep it. The test is the gap between what you’re paying for and what you actually use, plus how much of your process you’ve had to distort to suit the tool. When that gap is wide and the subscription is well into five figures a year, it’s worth costing the alternative properly. AI has moved that maths, because building software specific to one business is meaningfully cheaper than it was three years ago.

What does an AI readiness review cover?

Two halves, matching the two buckets.

Where you appear to your customers:

How your business is named across ChatGPT, Perplexity and Google’s AI, on the questions your customers actually ask

Who’s being named instead, and what they’re doing that you aren’t

The technical reasons you’re being skipped: content structure, schema markup, crawler access, and whether your business details are consistent across the web

What to fix first, and what can wait

Where AI could do the work:

A look at your systems and processes, and where the repeat work actually sits

What your current software costs measured against how much of it you use

Where a bespoke application would pay for itself, and where it plainly wouldn’t

A short list of what’s worth starting now against what’s better left for twelve months

You get a written summary either way. Some businesses take that list and hand it to their own people, and that’s a perfectly good outcome.

What have we learned running this on ourselves?

We’ve spent the last three years doing this to our own business first, riding the heavy wave of AI change and trying to stay just under the lip. Plenty of what we tried didn’t stick.

Two things have remained consistent. The first is that the tools change every few months, so the useful skill isn’t picking the right tool, it’s being able to swap tools without rebuilding how your business runs. The second is that the businesses getting real value started with a problem, not with the technology. The ones who started with the technology mostly ended up with a subscription and a story.

We’ve started doing the same for clients, and we’re set up to help more.

Frequently asked questions

What is an AI readiness review?

It’s an assessment of two things: how visible your business is in AI search across ChatGPT, Perplexity and Google’s AI, and where AI could do useful work inside your systems and processes. The first half looks at why you are or aren’t being named when customers ask AI engines for a business like yours. The second half looks at repeat work, current software costs, and whether a bespoke application would serve you better than an off-the-shelf subscription. You get a written summary with what’s worth fixing first.

Isn’t AI search visibility just SEO with a new name?

They overlap heavily, and good SEO work makes AI visibility easier. The difference is the finish line. Google shows a list of links and lets the customer choose. An AI engine assembles a single answer and names a handful of businesses, so being one of the options is a different result from ranking well. Content structure, schema markup, consistent business information and crawler access all matter more when there’s only room for three names.

How do I know if a custom application is worth building instead of paying a subscription?

Compare what you’re paying for against what you actually use, and count how much of your own process you’ve reshaped to suit the software. If you use most of the product and it fits how you work, stay where you are. If you’re paying well into five figures a year for a fraction of the features, working around the gaps manually, and adding staff time to make it fit, it’s worth costing a bespoke build properly. Building software around one business is cheaper than it was three years ago, which has changed where that line sits.

Is my business too small for any of this?

No. The AI search side matters more for small businesses, not less, because an AI answer names three businesses where a Google results page shows ten. On the process side, the starting point isn’t a large project. It’s usually one repetitive task that eats a predictable amount of time each week. Small businesses often see the value faster because there are fewer people and systems to change.

Want to know where your business stands?

HyperWeb has been building websites and digital strategy for Newcastle and Hunter businesses since 2000, and both halves of this are now part of that work. If you’d like to know where you stand on either front, being found or getting the work done, book an AI readiness review below or get in touch with the team.

Book an AI Readiness Reviewevent_available

If you’d rather read first, our working guide to GEO and AEO covers the search side in full, and our AI and application integration page covers the build side.

It’s not every few years that someone declares email marketing dead, but when they do, they usually get it wrong. That’s not to say the critics don’t have a point though, they’re just misdiagnosing the issue. B2B email marketing isn’t the problem: the issue lies in how most businesses are using it.

If your email campaigns are tanking, the solution often isn’t to change platforms, add more automation or fiddle with fancy subject lines, that’s just treating the symptoms rather than the cause. Getting it right goes to the heart of what you’re trying to achieve with email and is crucial in making the difference between building your business and alienating the people you’re trying to reach.

The Real Problem: When Overcomplication Kills the Relationship

Somewhere along the line, B2B email marketing went from being a way to nurture relationships with customers to an over-engineered machine that’s supposed to do everything all by itself. And we’ve got to be honest, it’s a pretty unreasonable expectation.

Too many businesses now see email as a standalone conversion machine, expecting it to single-handedly close complex sales that involve multiple stakeholders, long decision cycles and big budgets. No single channel can do all that on its own, so why are we expecting email to?

The tech hasn’t helped either. Marketing teams have layered on automation platforms, CRM integrations and analytics dashboards until it’s a wonder anyone can actually see what’s going on. Open rates, click rates and “engagement scores” can all look great on paper, but the real story is what’s actually happening with pipeline contribution and revenue influence. Those are the numbers that matter.

Open rates, click rates and “engagement scores” can all look great on paper, but the real story is what’s actually happening with pipeline contribution and revenue influence.

And then there’s the problem of over-sending. The instinct when results decline is to send even more email, to bigger lists and more frequently. Only that just makes things worse: recipients switch off, unsubscribe rates go up and the emails that actually deserve attention get lost in the noise.

Where Email Actually Works: Doing What It’s Good At

The businesses getting the best results from B2B email aren’t using it as a lead conversion tool in isolation. They’re using it as the connective thread that supports their broader marketing strategy.

Think of email as the reinforcement, not the frontline. It works a treat when you use it to follow up on valuable content, reinforce a message you’ve already delivered through another channel, or keep your business top of mind when a prospect is weighing up their options.

This doesn’t diminish email’s value. If anything, it increases it. A well-timed email that arrives at a moment when a prospect is actually thinking about what you’re offering carries far more weight than a cold automation sequence trying to manufacture urgency.

Think of email as the reinforcement, not the frontline. A well-timed email that arrives when a prospect is actually thinking about what you’re offering carries far more weight than a cold automation sequence trying to manufacture urgency.

The distinction matters because it changes how you plan and measure your email activity. Instead of asking “how many leads did this email generate?” you start asking “how did this email contribute to moving prospects through our pipeline?” That’s a more honest question, and ultimately a more useful one.

This is particularly true in the age of AI-powered search, where the way people discover and evaluate businesses is fundamentally changing. Your email content doesn’t just need to work in the inbox, it needs to be part of a content ecosystem that builds authority across every channel your prospects are using, including the AI platforms they’re increasingly turning to for recommendations.

Getting Personalisation Right Without Losing Your Way

Personalisation has become something of a game in B2B marketing, and not always in a good way.

We’ve got the tech to personalise just about everything: subject lines, content blocks, send times, product recommendations, you name it. But just because we can do it all doesn’t mean we should. Over-personalisation is a problem that’s harder to recover from than under-personalisation. When a recipient feels like you’re watching their every move, or when the personalisation feels forced rather than earned, trust just melts away. And in B2B, trust is the foundation everything else is built on.

Effective personalisation is actually simpler than most platforms want you to believe. It comes down to three things:

Clear segmentation. Group your audience by the things that genuinely matter: their stage in the buying process, their status as a customer, and their demonstrated intent. You don’t need 47 different dynamic content blocks. You just need to know who you’re talking to and where they are in their journey.

Timing and context. The right message at the wrong time is still a wasted message. Personalisation should account for when your recipient is likely to be receptive, not just what they might be interested in.

Immediate, clear value. Every email should answer the recipient’s unspoken question: “Why should I care about this right now?” If you can’t get that across in the first few lines, no amount of personalisation is going to rescue it.

Every email should answer the recipient’s unspoken question: “Why should I care about this right now?” If you can’t get that across in the first few lines, no amount of personalisation is going to rescue it.

The principles here are the same ones that apply to creating compelling digital experiences more broadly. Whether someone is reading your email, browsing your website, or interacting with your brand on social media, the question is always the same: does this feel relevant to me, right now?

It’s Not One-Size-Fits-All

Let’s acknowledge that reducing email frequency or simplifying automation isn’t always the right move for every business in every industry.

Some sectors respond incredibly well to regular communication, especially fast-moving markets where having the right information at the right time can make a real commercial difference. And when personalisation is done with both ethics and transparency in mind, it can be a genuine competitive advantage rather than a turn-off.

The difference is all in the intent and execution. Sending emails that consistently deliver useful, relevant content is a world away from sending emails simply because that’s what your automation tool is set up to do. Same goes for personalisation that respects boundaries and feels genuine, versus personalisation that feels like an invasion of privacy.

It all comes down to whether your approach is driven by a genuine understanding of your audience, or by the capabilities of your technology stack. The best email strategies are built on that understanding first, with the tech there to support it. Not the other way around. As we’ve seen with AI-driven customer service, the most successful technology implementations are those that start with the customer’s needs and work backwards to the tools, not the other way around.

The Way Forward: Quality, Purpose and Patience

The future of B2B email marketing belongs to the businesses willing to send fewer emails that actually mean something.

That might feel counterintuitive in a marketing environment that rewards hustle and output, but the numbers don’t lie. A smaller number of well-crafted, well-timed emails that genuinely serve the recipient will outperform a high-volume approach that treats every contact as a conversion opportunity waiting to happen.

This means being more selective about who you email, more deliberate about what you say, and more honest about what email can realistically achieve within your broader marketing strategy.

It means measuring email’s contribution to relationships and pipeline progression, not just opens and clicks. It means giving your team permission to send less when less is the right answer.

And it means recognising that email, like every other channel, works best when it’s built on respect for the people receiving your messages. Respect their time, respect their intelligence, and respect their inbox.

B2B email marketing isn’t dead. But the spray-and-pray, automate-everything, personalise-at-all-costs version of it probably should be.

At HyperWeb, we help businesses build marketing strategies that actually get results across all channels, including email that people pay attention to. If what you’re doing right now isn’t delivering what it should, get in touch so we can talk about what a smarter approach looks like.

Modern consumers don’t follow a straight line from awareness to purchase. Their journeys are winding, with multiple touchpoints across various platforms and channels. A single sale might go through Instagram, Google and Amazon, leaving marketers wondering, “Who gets credit for that sale?”

Attribution in digital marketing is messy, but understanding it and having a strategy allows businesses to thrive. Let’s dive into how attribution works, why visibility across channels is key and how to optimise your strategies for this multi-touchpoint world.

The Modern Customer Journey

Gone are the days when customers would see a TV commercial and drive straight to a store to buy. Today, the average customer interacts with over 11 touchpoints before making a purchase. These touchpoints could be discovery on Instagram, research through Google and a final purchase on Amazon.

Consider this example:

Discovery: A customer sees an influencer wearing a watch on Instagram, and that sparks initial interest.

Research: They search for the same watch on Google to read reviews and compare prices.

Purchase: After deliberating, they buy the watch on Amazon, enjoying fast shipping and competitive pricing.

Each step played a role in the sale, but which touchpoint gets the credit? The truth is all of them matter – and that’s where attribution models come in.

The Problem of Attribution

Attribution tries to assign credit to the various touchpoints that lead to a sale, but it’s far from a science. Here are the most common attribution models marketers use:

Last-Click Attribution: Gives all credit to the final touchpoint (e.g. Amazon).

Challenge: Ignores the earlier touchpoints that influenced the decision.

First-Click Attribution: Assigns all credit to the first interaction (e.g. Instagram).

Challenge: Ignores the nurturing and decision making along the way.

Linear Attribution: Divides credit equally among all touchpoints.

Challenge: Doesn’t highlight which specific interactions had the most impact.

Data-Driven Attribution: Uses machine learning to evaluate the importance of each touchpoint based on historical data.

Challenge: Requires significant resources and expertise to implement effectively. Now, imagine adding even more layers of complexity. Today, touchpoints also include YouTube ads, marketplace listings and even AI-powered tools like ChatGPT or Perplexity, which consumers use for research and discovery.

Why Visibility Across Channels Is Key

If buyers interact with so many channels before making a decision, your business can’t be absent from any critical stage. Being visible where it matters most ensures you don’t lose customers to competitors who show up first.

Here are five areas to focus on:

Organic Search: Ranking well on search engines is non-negotiable. Make sure your website and content are optimised for the keywords your audience is searching for.

Social Media: Platforms like Instagram, TikTok and LinkedIn are gateways for discovery and brand connection.

Paid Ads: Whether it’s Google Ads or promoted posts on social media, paid campaigns can get you visibility in competitive spaces.

Marketplaces: Platforms like Amazon, Etsy or Walmart.com dominate the e-commerce landscape. Your presence here directly impacts sales.

AI-Powered Discovery Tools: The rise of conversational AI platforms like ChatGPT means consumers may discover your brand or solutions through AI-generated recommendations. Make sure your content and product information are designed to integrate with these tools.

Visibility is about more than just being on these platforms. It’s about crafting tailored messages and experiences for each channel, ensuring consistency while resonating with the specific audience of that platform.

Actionable Steps to Master Attribution and Visibility

To overcome attribution challenges and maximise your marketing impact, you need a strategy. Here’s a step-by-step guide:

1. Map Your Customer Journey

Identify the most common paths your customers take to a purchase. Use tools like Google Analytics, heatmaps or customer feedback to pinpoint key interactions.

Example Insight: You notice a spike in searches for your product after influencer promotions on Instagram, revealing a strong connection between paid social and organic search.

2. Adopt a Multi-Touch Attribution Model

While singular attribution models (like last-click or first-click) offer simplicity, they often don’t tell the full story. Multi-touch models or data-driven attribution help you see how each touchpoint contributes to conversions.

Start with basic linear attribution for equal distribution.

Gradually move to predictive tools as your data grows.

3. Optimise for Omnichannel Experiences

Customers expect seamless transitions between platforms. Make sure your brand looks and feels the same across channels while tailoring content for each platform.

On Instagram, focus on high-quality visuals and storytelling.

On Google, we create in-depth blog posts and comparison pages for high-intent search queries.

On marketplaces like Amazon, optimise product listings with clear descriptions, reviews and competitive pricing.

4. Use AI Analytics

AI-powered tools like machine-learning analytics platforms can process vast amounts of data, making it easier to identify patterns and assign value to touchpoints.

Explore services like Google’s AI-powered Smart Goals or third-party software for real-time insights.

5. Test and Iterate Regularly

Digital behaviours change constantly. Run A/B tests, monitor conversions and adjust strategies to reflect performance.

Run experiments with ad placements or different audience segments to optimise impact.

Keep tracking new trends like AI or even voice search influencing customer journeys.

6. Measure with Clear KPIs

Define what metrics matter most for your campaigns and touchpoints. Whether it’s conversions, clicks or time spent on a product page, aligning metrics with goals will guide your efforts towards measurable success.

Example KPIs for Instagram engagement are “saves” and “profile clicks”.

For a blog post, focus on traffic, time on page and call-to-action click-through rates.

Thriving in the Chaos of Attribution

The truth is, no attribution model will be perfect. What matters most is having a flexible strategy that accounts for the reality of the modern digital landscape. Balance investment across channels, refine your approach based on data and make sure your brand shows up where it matters.

When done well, your visibility across touchpoints will turn attribution from a challenge into an opportunity, keeping you top of mind throughout the customer’s entire buying journey.

Creating a plan that spans discovery (Instagram), research (Google) and final purchase points (Amazon or others) takes effort but pays off in revenue. By targeting key touchpoints and using insights from attribution models, your business can adapt to the modern customer’s fragmented but rich buying experience.

As we have highlighted in a number of previous posts, the digital environment for business is changing fast, and businesses that don’t adapt will get left behind. At the forefront of this change are dedicated AI agents: specialised digital solutions that handle specific business functions with precision and speed. Unlike generic AI tools, these purpose-built agents are changing how businesses approach customer service, sales and operational excellence.

What are Dedicated AI Agents

Dedicated AI agents are software programs that focus on specific business functions rather than trying to be everything to everyone. They use machine learning, natural language processing and advanced analytics to deliver targeted solutions that align with your business goals.

Think of them as highly trained specialists rather than generalists. Just as you wouldn’t hire the same person to do your accounting and your marketing, dedicated AI agents are designed with specific expertise areas that allow them to excel in their role.

The Strategic Advantage of Specialisation

Many businesses look for one-size-fits-all AI solutions. But the most successful implementations focus on dedicated agents that excel in specific areas:

Customer Service Agents operate 24/7, handle inquiries with consistency and accuracy and escalate complex issues to human reps when needed.

Sales Agents qualify leads, guide prospects through your sales funnel and identify opportunities that would otherwise be missed.

Support Agents provide technical support, troubleshoot common issues and maintain comprehensive knowledge bases that evolve with your products and services.

This specialisation means each agent can deliver expert-level performance in its domain and integrate seamlessly with your existing business processes.

Dedicated AI Agents in Action

Customer Service Excellence

Dedicated customer service agents change how businesses interact with their customers. These specialised systems provide instant responses to inquiries, maintain conversation context across multiple touchpoints and deliver personalised experiences that build customer loyalty.

Unlike traditional chatbots that frustrate users with scripted responses, modern customer service agents understand intent, context and nuance. They can resolve complex queries, process requests, and even detect customer sentiment to adjust their approach accordingly.

Sales Acceleration

Sales-focused AI agents are a game-changer for revenue generation. These specialised systems engage prospects at the right moment, qualify leads based on your specific criteria and guide potential customers through your sales process with personalised recommendations.

A dedicated sales agent can identify buying signals, present case studies, schedule demos and even handle objections, all while maintaining detailed records for your sales team to review and act upon.

Support and Success

Customer success agents focus on retention and growth within your existing customer base. They monitor usage patterns, identify at-risk accounts, and proactively reach out with solutions before problems escalate.

These agents can also identify upselling opportunities, facilitate onboarding processes and ensure customers are getting the most out of your products or services.

HyperAI: Your Dedicated Website Concierge

HyperAI is the next evolution of dedicated AI agents, designed to turn your website into an intelligent sales and customer service hub. Rather than replacing human interaction, HyperAI augments your team’s capabilities by handling initial customer touchpoints with sophistication and speed.

Features

Brand-Aligned Communication: HyperAI maintains your brand voice and messaging consistency across all interactions so every customer touchpoint reinforces your value proposition.

Intelligent Routing: The system doesn’t just answer questions, it guides visitors to the exact products, services or information they need, creating clear paths to conversion.

Seamless Integration: HyperAI connects directly with your CRM systems, marketing automation platforms and analytics tools so no opportunity falls through the cracks.

Continuous Learning: Every interaction improves the system’s performance, creating a feedback loop that enhances customer experiences over time.

Measurable Business Impact

Organisations that implement HyperAI typically see immediate improvements in key performance indicators:

Conversion Rate Optimisation: By providing instant, relevant responses and guiding visitors to the right actions, HyperAI increases the chances of converting browsers into buyers.

Customer Satisfaction: Visitors get instant help and accurate information, so scores and reviews go up.

Operational Efficiency: Your human team can focus on complex, high-value interactions while HyperAI handles routine inquiries and qualification processes.

Revenue Growth: The combination of improved conversion rates and better customer experiences directly impacts your bottom line.

Strategic Considerations

Deploying dedicated AI agents requires strategic thinking beyond the technology itself. Consider these key factors:

Integration Strategy: How will your AI agents connect with existing systems and workflows? Seamless integration is key to maximising ROI.

Team Training: Your human staff need to understand how to work alongside AI agents effectively, creating a collaborative environment that leverages both human creativity and AI efficiency.

Performance Measurement: Establish clear metrics for success and regularly review agent performance to ensure continuous improvement.

Customer Communication: Be transparent about AI usage while emphasising the better service customers will get.

The Competitive Imperative

In today’s market, businesses that don’t use dedicated AI agents will be left behind by those who already are. The question isn’t if you should use AI agents, but how fast can you deploy them?

Companies that act now get first-mover advantage in their market, building customer relationships and operational efficiencies that become harder for competitors to match.

Get Started

The journey begins by understanding your specific needs and choosing dedicated AI agents that fit your business goals. HyperAI is a proven solution for businesses looking to supercharge their website and customer interaction.

Ready to see how dedicated AI can drive your business growth? Book a demo of HyperAI today and find out how specialised AI can give your business the competitive edge you need to succeed in a digital world.

The future is for businesses that strategically use AI. Make yours one of them.

In our first blog post about the changing face of marketing in 2025, we looked at how to embrace the uncertainty in which we, as business owners, find ourselves. In this second article, we look at what we need to do in terms of the trends to take advantage of. As we know, the digital marketing landscape is evolving faster than ever. For small and medium enterprise owners, it means adapting to these changes while maximising resources. At HyperWeb, we’ve identified the key trends that are changing how businesses connect with their customers and grow.

The AI Revolution in Marketing

The biggest shift we’re seeing is how artificial intelligence is moving from a content-generation tool to a strategic decision-making powerhouse. For SME owners, this means access to enterprise-level marketing capabilities without the enterprise-level budget. AI is now helping businesses:

Analyse customer behaviour patterns to predict purchasing decisions

Optimise marketing campaigns in real-time for better ROI

Deliver personal experiences that 73% of customers now expect

Automate routine tasks so your team can focus on strategy and creativity

Search is Everywhere, and Everything is Search

SEO used to mean optimising for Google alone. In 2025, your business needs to be found across multiple platforms and formats. We’re seeing the rise of “zero click” searches and AI-driven search platforms that prioritise voice and visual content. For your business, this means:

Optimising for voice search and AI assistants

Creating rich visual content that appears in enhanced search results

Developing a presence on emerging AI search platforms

Ensuring your local business information is accurate across all platforms

Authentic, Omnichannel Marketing

Today’s customers interact with brands across multiple touchpoints before making a purchase decision. They’re also more value-conscious and want to connect with brands that align with their values. Successful SMEs are:

Developing brand messaging across all channels

Creating interactive visual content

Building trust through transparent communication

Leveraging social commerce and influencer partnerships

Privacy First Personalisation

Personalisation remains key, with almost three quarters of customers wanting personal experiences, but privacy concerns are changing how we collect and use customer data. Forward thinking businesses are:

Collecting zero-party data through direct customer interaction

Being transparent with data practices

Creating value exchanges to encourage customers to share preferences

Implementing privacy-preserving personalisation technologies

Action Steps for SME Owners

Audit Your Current Digital Presence: Review your online presence across all platforms and identify gaps in your omnichannel strategy.

Invest in AI Tools Start with one or two AI tools that will provide immediate value, for example, marketing automation or customer analysis platforms.

Optimise for New Search Behaviors: Make sure your content strategy includes visual, voice and AI optimised content.

Build Authentic Connections: Define and communicate your brand values and engage with your audience through relevant content and interactions.

Privacy First: Review your data collection practices and implement systems for collecting and using zero-party data.

Next

The marketing landscape will continue to change, but the fundamentals remain the same: know your customers, provide value and build trust. At HyperWeb, we help SMEs navigate these changes and thrive in the digital economy.

Success in 2025’s marketing landscape isn’t about having the biggest budget – it’s about being smart, authentic and adaptable. By focusing on these areas and making changes systematically your business can build deeper customer relationships and grow sustainably in this rapidly changing environment.

As the founder of a digital agency working with businesses across many sectors, I’ve seen a big change in how successful businesses approach marketing planning. We can no longer map out the entire year in December or in June and execute it unchanged for the next 12 months.

The New Marketing Planning Reality

AI, changing consumer behaviour, and economic uncertainty have changed how we need to think about marketing strategy. In my work with clients from startups to established SMEs, I’ve seen first-hand how traditional annual planning cycles can actually hold businesses back rather than help them grow.

Consider the possibility that by the time you’ve finished creating your third quarter campaign calendar, a new AI tool will have changed how your target audience finds and engages with content. Or your carefully crafted messaging strategy will need a complete rewrite because of market shifts or consumer trends that no one saw coming.

Beyond Traditional Planning

Instead of trying to predict the unpredictable, successful marketers in 2025 will need to build “adaptive strategic frameworks”. Here’s what that means in practice:

1. Shorter Planning Horizons with Deeper Insights

Instead of rigid annual plans, structure your strategy around 90-day rolling horizons. This allows you to have strategic direction while being able to adapt to new opportunities and challenges. Here at HyperWeb, we’ve seen better results by reviewing and adjusting our client’s strategies quarterly rather than annually.

2. Decision-Making Frameworks

The key to success isn’t having a perfect plan – it’s having a framework for making decisions quickly and effectively. Have clear criteria for evaluating new opportunities and threats – whether they’re new AI tools, changing market conditions or new competitor activity.

3. Strategic Response Scenarios

Instead of predicting exact outcomes, prepare for different possibilities. For example:

Rapid adoption of new AI in your industry

Big changes in social media platform dynamics

Changes in economic conditions in your target market

4. Investment in Adaptable Marketing Infrastructure

Your marketing tech stack needs to be able to pivot quickly. This might mean:

Modular marketing automation systems

Scalable content creation processes

Agile testing and optimisation frameworks

How to Get Started

Audit your current marketing operations for flexibility. How quickly can you pivot if needed?

Invest in tools and training to enable your team to make data-driven decisions quickly.

Build relationships with adaptive marketing partners like HyperWeb, who can scale up or down with you.

Have regular review points to check market changes and your response mechanisms.

Uncertainty is Your Superpower

While many see uncertainty as a threat, I’ve found that businesses that embrace it often find unexpected opportunities. The ability to pivot quickly and confidently is becoming a key differentiator in crowded markets.

Remember, the goal isn’t to predict the future perfectly – it’s to build an organisation that can thrive whatever the future brings. In my experience working with successful SMEs, those that master this approach outperform their more rigidly planned competitors.

What’s Next?

As we head into 2025, the businesses that will succeed are those that can balance strategic direction with tactical flexibility. That means having strong foundation principles while being able to adapt as circumstances change.

First step is to change your mindset from seeking certainty to embracing adaptability. Start by auditing your current planning processes and ask: “How can we make this more flexible while keeping strategic direction?”

What are your experiences with marketing planning in uncertain times? How are you preparing your business for what’s to come? If you need help or are seeking a partner, get in touch.

Have you ever wondered if there was a ChatGPT that is focussed just on your business and your products and services? HyperAi is here.

HyperWeb has developed a new function for websites that will transform online customer service for our clients. HyperAi is an AI-assisted website service that uses GPT-4o, which is trained on a set of documents, a website, or a group of websites. It acts as an information and website wayfinding service and as a virtual online concierge for business websites.

This effectively turns a website into a “smart website,” using artificial intelligence to create a friendly conversational experience. It can be trained on any prescribed set of data, so the applications are endless.

How Does it Work

Placed strategically on a website, it will respond to visitors’ questions using our own information primarily and then use the “broader general knowledge and advanced reasoning capabilities” of OpenAI data when required to supplement and augment the response. If you are familiar with ChatGPT, you will know how it responds to prompts and questions in a natural language and conversational manner. This is what makes the HyperAi integration a practical customer service experience when applied to a website.

The responses are trained to be informative and directional. Each response will contain links to the relevant pages on your website or the pages on the relevant website from a group. The response will end on a customisable call to action to offer your visitors a path to contact, call, or book a meeting.

There are options in our configuration around logging the conversations, which can be exported and analysed for essential information about what your visitors are looking for. The user can also email the transcript of their session to themselves.

Features & Benefits

Customisable natural language responses to user questions with informative and directional linking. The responses are strictly controlled with guard rails to avoid the function responding with irrelevant or potentially false information. Because it will be a dedicated installation on your website, the tone of voice, the rules, the restrictions, and the calls to action are entirely customisable for each application.

Customisable look and feel. As we have developed this tool from the ground up, we have complete control over how it looks and feels within your website. In our demos, we have a quirky avatar that accompanies the tool, as well as instructional information for the user. Unlike traditional chatbots, we are able to use your style guide without compromises in colours or fonts. We can use images and information in any way that works for you and your users. You can give your HyperAi bot a name and a personality, and we can help you design an avatar to give it a character and personality that suits your business.

As opposed to the traditional chatbot, we can develop this integration into a website placed where it is most effective and in multiple places throughout the user experience. Usually, a chatbot is a standardised function that allows you to set a few rules and questions, and you are restricted as to where on the site it appears. With HyperAi, we have complete freedom in how it is integrated, for example, to replace a search icon, or bar in the main navigation, a floating sidebar tab, and/or within the content flow of your website.

Try our new AI-powered help tool. You can see it can be placed within content to use as a call to action.

Try Me

Transforming the searching experience. You will have used the search function on websites before, from the good to the bad. Good searches respond visually with visible links with preview information. The result is a list of links that you still have to view to decide which results you are looking for. There may be filters and categories to help narrow down your search. But that is all the help you get. With HyperAi, our experience answers the user’s questions in context, recognising the intent, and presents the results with reasoning, recommendations, and links to relevant pages with a call to action. It finds the resources related to your search, even if the keyword used is not in the content. For example, a search for kid-friendly returns responses to products and services related to the theme rather than results that are tagged or contain the exact term.

Accountable and reportable. We can set up specific parameters on the links it supplies, so the activity can be measured by setting up Events in your Google GA4, so you can see the results of it in a real business sense.

Dedicated and Supported. This is not an off-the-shelf product like a HubSpot, Drift, and LiveChat function. This is built into the experience of your website with dedicated development to deliver the tone of voice and call to action that will work best for you. It has ongoing support from HyperWeb developers who can respond to user input and make changes to the rules, restrictions, instructions, and presentation based on user feedback.

Accessible. Thinking of this as a concierge or visitor information service, it doesn’t sleep. It is accessible and delivers a customer service experience 24 hours a day and 7 days a week. When your business is closed, your HyperAi keeps working for you. It also provides an in-person-like experience online. This reduces the need to physically attend a business or organisation if physical mobility is an issue, for example, in cases of physical and mental disability. Lastly, there is a voice feature, a user can speak to HyperAi using voice to text.

Integrations with CRM. Because the interface is an online form and it “knows” the URL that it is being used on, we can integrate with Hubspot, Mailchimp, or other customer relationship management or email marketing software. This means your users are not missed in regards to your marketing funnels and potential automated or manual followups.

Brand, Marketing, and SEO. The early adopters will be seen to be both in front of the curve in terms of technology but also in their dedication to customer service. We can help with designing a character or avatar, and you can make a feature of it in your marketing. Simply having it on your website will increase the user time on site, which is a big factor in search engine optimisation, helping your website and business be found in search engine results.

What are the Applications

At the time of writing, we tested businesses and organisations, including large engineering, business-to-business industrial, construction and development, tourism and accommodation, e-commerce, recruitment, health, sports and education. We are working on internal uses for business as an AI-assisted Intranet function. We are also able to develop dedicated smart websites using publically available documents to provide new experiences in shopping, planning holidays, or finding goods and services.

What are the Implications?

We are able to bring the future of search forward and apply it directly to websites. Google and Bing are responding to searches with AI snippets more and more. It will become the expected way to respond to user queries. For us, we are now able to deliver a website development and digital marketing service that integrates with AI to give our clients the functionalities it needs including search, and beyond.

The end of the year is always a great time to review any new digital marketing trends, and analysis what will be predicted in the coming months. Especially after a pandemic, the digital marketing landscape is constantly changing and evolving. It’s important to identity these trends and look at incorporating them into your short and long term marketing strategies.

Overall, the future of marketing is about connecting with real customers and their individual needs and values.

• Conversational and Personalised Marketing

Instead of telling customers to buy your products or services, conversational marketing is subtle and is focused on having a discussion with a customer in real time. We obviously can’t be available online 24/7, however, you can leverage automated options like chatbots to engage in these ‘conversations’ across your website and digital platforms at any time.

In addition, utilising data to personalise your messaging to your customers on an individual level will further increase your rapport with customers and drive sales. Not only that, but personalised sales are also something that consumers have now come to expect.

• Stories

Social media stories only last for 24 hours and then disappear. This allows businesses to have fun with their content as it won’t last forever, and it doesn’t need to look perfectly curated for their feed. Stories are a great tool for producing behind-the-scenes content and utilising features such as polling followers with fun questions.

• Video Content

Not only is video content visually appealing, it also provides your customers with a convenient way to learn more about your product or services. Most digital platforms now allow and encourage the use of video content, also allowing you to repurpose previous content such as blogs or written information.

• Artificial Intelligence

The integration of AI powered technology is only expected to increase further. These technologies allow you to forecast and make predictions about your business and your customers. AI tools enable many digital processes like optimisation and SEO to be automated.

• Non-For-Profit Opportunities

Especially in the era of a post pandemic, customer’s value transparency and a business’ social, economic, and environmental beliefs more than ever. It is important that customers can see that their values align and are represented with those businesses they choose to support and buy from.

• Multi-Channel Marketing
